Terms of Service

These terms govern your use of Kalumo. By creating an account or using the service you agree to them, so please read them. They're written to be understood, not to trip you up.
1. Who we are
Kalumo ("Kalumo", "we", "us") is invoicing software for small businesses, operated as a sole proprietorship in South Africa and available at www.kalumo.co.za. You can reach us any time at support@kalumo.co.za.
2. The service
Kalumo lets you create and send invoices, quotes and statements, track payments, remind customers about outstanding amounts, and give your customers a portal where they can view and pay what they owe. Features vary by plan. See our pricing page for what each plan includes.
Kalumo is a tool for running your billing; it is not an accounting, tax or legal adviser. You remain responsible for the accuracy of the invoices you send and for your own tax and regulatory obligations.
3. Your account
You must provide accurate information when registering and keep your login credentials secure. You are responsible for all activity under your account. If you believe your account has been compromised, contact us immediately.
You must be at least 18 years old and using Kalumo for business purposes.
4. Plans, billing and cancellation
Kalumo offers a Free plan and paid monthly subscriptions (currently Pro and Business), priced in South African rand as shown on our pricing page. Paid subscriptions are billed monthly in advance through Paystack, our payment processor.
- You can upgrade, downgrade or cancel at any time from your billing settings.
- When you cancel, you keep access to your paid features until the end of the billing period you have already paid for; you will not be billed again.
- If a renewal payment fails and cannot be collected, your account moves to the Free plan. Your data is not deleted.
- Refunds are handled as described in our refund & cancellation policy.
We may change our prices, but never retroactively for a period you have already paid, and we will give you at least 30 days' notice before a price change affects you.
5. Acceptable use
You agree not to use Kalumo to:
- send fraudulent, misleading or unlawful invoices or messages;
- send spam or unsolicited bulk communications;
- infringe anyone's rights or violate any applicable law, including consumer-protection and data-protection law;
- interfere with or attempt to gain unauthorised access to the service or other users' data.
We may suspend or terminate accounts that breach these terms. Where reasonable, we will warn you first.
6. Your data and content
Your business data (customers, invoices, quotes and payment records) belongs to you. You grant us the licence needed to host, process and display it in order to run the service (for example, generating an invoice PDF or showing your customer their portal). We handle personal information as described in our privacy policy.
You can export your data while your account is active. If you close your account, we will delete your data within a reasonable period, except where we are required to keep it by law.
7. Availability and warranties
We work hard to keep Kalumo available and reliable, but the service is provided "as is" and we cannot promise it will be uninterrupted or error-free. We may modify or improve features over time; if we ever discontinue the service, we will give you reasonable notice and the opportunity to export your data.
8. Liability
To the maximum extent permitted by law, we are not liable for indirect or consequential losses (such as lost profits or lost business), and our total liability for any claim relating to the service is limited to the amount you paid us in the three months before the claim arose. Nothing in these terms limits any liability that cannot lawfully be limited, or your statutory rights under the Consumer Protection Act, 2008.
9. Changes to these terms
We may update these terms from time to time. If a change is material, we will notify you by email or in the app before it takes effect. Continuing to use Kalumo after a change takes effect means you accept the updated terms.
10. Governing law and contact
